Druva for Salesforce: Understanding the "Share Environments" Feature

When registering or managing a Salesforce organization within Druva, you will see an option to "Share with All Organization Users". This setting determines which administrators within your company can view and manage that specific Salesforce environment.

Below is a detailed breakdown of how this setting behaves and how it affects your Druva team.

Key Concepts to Know

  • Druva App Admin: An administrative user account tied to your specific Druva organization (tenant).

  • Salesforce Org Mapping: Each Salesforce org you register in Druva is mapped to your specific licenses and secured via an OAuth token.

How the "Share Environments" Feature Behaves

The visibility and control of your registered Salesforce org depend entirely on whether this checkbox is selected during setup.

1. Default Behavior (Checkbox NOT Checked)

By default, the registered Salesforce organization is private to the creator.

  • Visibility: The org is only visible and operable by the specific Druva App Admin who authenticated and registered it.

  • Restrictions: Other admins within your same Druva organization cannot see this org in their License or Environment Hub views.

2. Shared Behavior (Checkbox CHECKED)

When you enable "Share with All Organization Users", global visibility is granted across your tenant.

  • Visibility: The org becomes visible in the Druva Salesforce UI to all administrators belonging to that same Druva organization/customer tenant.

What Shared Admins Can Do:

Once shared, any administrator in your tenant can perform the following actions:

  • Manage Licenses: View and manage the org under License > Manage License.

  • Environment Hub: View and monitor the org within the Environment Hub.

  • Backup Management: Create, modify, or delete backup definitions for that specific Salesforce org.

💡 Best Practice: If multiple team members are responsible for managing backups or monitoring compliance, we highly recommend checking the "Share with All Organization Users" box during registration to prevent management bottlenecks if the primary admin is unavailable.
