Overview

As an Cloud administrator, you can download the Public folder backed up data using the inSync Management Console.

You can download the entire Public folder as zipped folder in a <inSync-Publicfoldername>.zip format. inSync also allows you to do selective downloads for specific data (Emails & Posts, Calendars, Contacts, Journals, and Notes) along with their metadata attributes.

Download Emails and Posts

  1. Sign in to Druva Cloud Platform Console and navigate to Microsoft365 >Public folder.
    A page that lists all the discovered Public folder appears.

  2. Click the Public folder name to download email and posts. Click Download.

  3. Use the snapshot selector to select the snapshot from which you want to download the data. By default, the latest snapshot will be selected.

  4. Select the entire emails and posts folder or a specific email and post for download.

  5. Click Download. The data is downloaded in a <inSync-Publicfoldername>.zip format. Within the <inSync-Publicfoldername>.zip, the following files are created based on the selection for download.

  1. (Optional) Click on the specific email to view the following email details:

  • Subject: Email subject details

  • From: Details of the sender

  • To: Details of receiver

  • CC: Details of the person copied in the email

  • BCC: Details of the person blind copied in the email

  • Date: Date and time when the email was created and sent

Download Journals

  1. Sign in to Druva Cloud Platform Console and navigate to Microsoft365 >Public folder.
    A page that lists all the discovered Public folder appears.

  2. Click the Public folder name to download email and posts. Click Download.

  3. Use the snapshot selector to select the snapshot from which you want to download the data. By default, the latest snapshot will be selected.

  4. Select the entire journal folder or a specific journal for download.

  5. Click Download. The data is downloaded in a <inSync-Publicfoldername>.zip format. Within the <inSync-Publicfoldername>.zip, the following files are created based on the selection for download.

  1. (Optional) Click on the specific journal to view the following journal details:

  • Subject: Email subject details

  • Summary: Brief summary of the journal

  • Created By: Name of the person who created the journal

  • Created date: Date and time of creation (Universal Time Coordinated -UTC time zone)

  • Attachment (if available)

Download Notes

  1. Sign in to Druva Cloud Platform Console and navigate to Microsoft365 >Public folder.
    A page that lists all the discovered Public folder appears.

  2. Click the Public folder name to download notes. Click Download.

  3. Use the snapshot selector to select the snapshot from which you want to download the data. By default, the latest snapshot will be selected.

  4. Select the entire notes folder or a specific note for download.

  5. Click Download. The data is downloaded in a <inSync-Publicfoldername>.zip format. Within the <inSync-Publicfoldername>.zip, the following files are created based on the selection for download.

Download Calendars

  2. Click the Public folder name to download calendar events. Click Download.

  3. Use the snapshot selector to select the snapshot from which you want to download the data. By default, the latest snapshot will be selected.

  4. Select the entire calendar folder or a specific calendar event for download.

  5. Click Download. The data is downloaded in a <inSync-Publicfoldername>.zip format. Within the <inSync-Publicfoldername>.zip, the following files are created based on the selection for download.

Within the downloaded zip file, there are .ics files corresponding to each calendar event.


Download Contacts

  1. Sign in to Druva Cloud Platform Console and navigate to Microsoft365 >Public folder.

  2. Click the Public folder name to download contacts. Click Download.

  3. Use the snapshot selector to select the snapshot from which you want to download the data. By default, the latest snapshot will be selected.

  4. Select the entire contacts folder or a specific contact for download.

  5. Click Download. The data is downloaded in a <inSync-Publicfoldername>.zip format. Within the <inSync-Publicfoldername>.zip, the following files are created based on the selection for download.

Things to consider for Public folders downloaded data

  • The .ics files more than 10 MB size can be opened only from the Outlook client.

  • The inline images in the body are displayed as an attachment.

  • Currently, you can download only profile picture attachment within contacts.

  • Journal, Posts, and Notes are exported as .eml files and are imported as emails.

  • Due to Microsoft Public folders API behavior, a delay of 10 minutes is observed in the user action and the actual API updates provided for backup. For example, if you rename a Public folder and initiate a backup immediately, the new name is not reflected in the latest snapshot. However, if you initiate backup for a renamed Public folder after 10 minutes of rename action, the snapshot shows the new name.
