Preparing the environment for successful Druva Public Folder backup

1. What is Public Folder in your environment?

Public folders are designed for shared access and provide an easy and effective way to collect, organize, and share information with other people in your workgroup or organization. Public folders help organize content in a deep hierarchy that's easy to browse. Users will see the full hierarchy in Outlook, which makes it easy for them to browse for the content they're interested in.

2. Why is it essential to perform regular backups of Public Folder?

Performing regular backups of Public Folder is crucial to ensure data protection and disaster recovery. Backups help safeguard against accidental deletions, data corruption, cyberattacks, and other potential issues resulting in data loss. It provides the ability to restore individual emails, mailboxes, or entire tenants.

3. What data and components does Druva backup from Public Folder?

Druva inSync backs up various data and components from Public Folder, including mailboxes, emails, attachments, contacts, calendars, tasks, public folders, and other Exchange-related entities. It provides comprehensive protection for Public Folder data to ensure recoverability.

5. What are the prerequisites before configuring Druva for Public Folder backups?

Before configuring Druva for Public Folder backups, ensure the following prerequisites:

1. A valid subscription to Druva inSync and appropriate licensing for Public Folder.

3. An account with Global Administrator privileges with Active E3/E5 license with mailbox and mailbox property “MAPIEnabled=True” for initial configuration.

4. Cloud Key Management to store the encryption key.

5. Admin account used to configure M365 should have Reviewer and Owner privileges.

Use the Auto Configuration Settings (Default) option to automatically detect any new Public folder and to apply the global or same backup schedule to each of the newly discovered and configured Public folder.

7. How do I run a backup for Public Folder using Druva?

Schedule automatic discovery of Public folders and configure backup

You can schedule an automatic discovery and backup of Public folder while configuring Public folder. For more information, see Configure inSync to protect Public folder.

On-demand or manual backup of Public folders data

As an inSync Cloud administrator, you can start an unscheduled backup of the following as and when necessary:

Perform the following steps to initiate a manual backup for specific Public folder using the Summary or Activity Stream tab.

2. Click the Public folder name you want to backup. If the Public folder is not configured, you need to configure the Public folder first and then trigger the backup activity.

3. On the Summary or Activity tab, click Backup Now to trigger the backup. After the backup activity is completed, the Backup Status on the Public folder page will change to Backed Up Successfully

2. Click the Public folder name that you want to restore. The Public folder page appears if you select a Public folder for which the backup has been enabled.

3. In the right pane, click the Restore Data tab. From the listed Public folder contents displayed within Snapshot Viewer, browse and select the Public folder data that you want to restore. Use the snapshot selector to select the snapshot from which you want to restore data.

4. Click Restore. The Restore window appears. The Restore Options are displayed based on the selected Public folder component (Full Public folder, Only Public folder data, or Only Settings) and the Public folder state (Active and Deleted).

5. Select the desired restore option and proceed with the restore action. A confirmation message appears after a restore action is initiated successfully. You can view the restore activity progress using Live Activities.

Things to consider for Public folder restore

  • Due to EWS API limitations, you cannot change or modify Mail Settings for a Public folder once these settings are overwritten after a successful In-Place or Restore as a Copy activity is initiated from inSync.

  • Notes are restored with the default color (Yellow) and not as per the color that you have assigned.

  • With the 30-October-2021 cloud update, if mailboxes are split for any of your existing Public folders, the In-place Restore option will fail for older snapshots associated with such Public folders. In this scenario, the Restore as a Copy option will work. For more information, see Public folder mailbox autosplit.

9. Based on your experience, what are the most common issues encountered when dealing with Public Folder backups?

While each environment may have unique challenges, some common issues encountered with Public Folder backups include;

1. EWS throttling

2. Authentication failures due to password change or token expiration

3. Admin account used to configure M365 does not have active mailbox.

4. Admin account used to configure M365 is not the owner of Public Folder.

5. Insufficient storage capacity.

6. Configuration errors.

7. Occasional performance issues.
