Overview

Microsoft 365 Backup Storage enables you to protect and back up SharePoint data using the Microsoft 365 storage platform, with the backups securely stored within Microsoft's environment. As a Druva Cloud administrator, you can restore SharePoint Online data in the event of accidental deletion or malicious activities for future reference and business continuity.

You can manage SharePoint Online through the following:

  • Check the number of SharePoint Online sites backed via the Overview page.

  • Gain insights into ongoing and past restore activities for your SharePoint Online via the Jobs page.

Microsoft 365 Backup Storage application is designed by Microsoft to offer the following benefits with respect to protecting your SharePoint Online data:

  • Intuitive interface: Single access point to view and manage SharePoint data.

  • On-demand restore: Perform on-demand or bulk recovery of SharePoint Online data.

  • Flexible recovery location: Restore SharePoint Online data to the original or a new site.

Backup configuration is currently limited by Microsoft to 50 sites per instance, while restore operations are currently limited by Microsoft to 25 sites per instance.


Know your SharePoint Online Dashboard

The SharePoint dashboard lists all the discovered SharePoint sites. This topic explains the dashboard and the actions you can perform on it.

Access path

The SharePoint dashboard has three tabs:

  • All Sites

  • Configured Sites

  • Settings


πŸ“ NOTE

When you set up for the first time, the Overview section initially shows no data. However, when you configure the backup, the Overview section will refresh to show your data.


Field description:

This section lists fields in the SharePoint Online dashboard.

All Sites

This tab lists all SharePoint sites and details such as site title and URL. You can perform the following actions on the All Sites tab.

  • Configure backup for SharePoint sites.

  • Search a site using its title or URL.

  1. Configure for Backup: Configure backup for selected sites.

  2. Search Title or URL: Search for a SharePoint site using its title or URL.

  3. Title: The name of the SharePoint site.

  4. URL: The URL of the SharePoint.

Configured Sites

This tab lists configured sites with details such as Title, URL, and protection status (protected or not protected). On this tab, you can:

  • Restore data for the selected site.

  • Filter the site based on Title, URL, and protection status.

  1. Restore Data: Restore data for selected sites.

  2. Search Title or URL: Search for a SharePoint site using its title or URL.

  3. Title: The name of the SharePoint site.

  4. URL: The URL of the SharePoint site.

  5. Status: Protection status for a site.

    1. Not Protected: The site has not been backed up.

    2. Protected: The site has been backed up.


πŸ’‘ Tip

Click the column headers to sort the list alphabetically by name, URL, or protection status.


Settings

The tab displays the default protection plan. Due to limitations in the Microsoft 365 Backup Storage API, modifying the backup schedule and retention settings is not possible. For more details on backup policy, refer Microsoft Backup Storage API - Overview .

The statuses displayed in the Settings tab are as follows:

  1. Activated: All units are in a protected state, and policy status is active.

  2. Activated with Error: Some units are protected while others are unprotected, policy status is activeWithErrors.

  3. Updating: Some or all units are in protectRequested/ unprotectRequested/ removeRequested state, policy status is updating. Once successful, this status will change to Activated or Activated with Error.

Configure SharePoint Online Backup

To configure the backup from the SharePoint dashboard:

  1. Navigate to the left navigation pane and click on SharePoint.
    All your sites are automatically discovered and shown in a list.

  2. Select the sites you want to configure for backup by checking the boxes next to them.

  3. Click on Configure for Backup.

  4. Click Save.

  • The backup configuration is currently limited by Microsoft to 50 sites in a single instance.

  • Site search is case-sensitive and is a prefix-type search. If a website's URL doesn't appear in search results, try searching for its display name instead.


Restore SharePoint Online Data

During the data restoration process, the administrator must manually select a restore point. A restore point signifies a specific moment from which a previously healthy version of content can be retrieved.

Restore Considerations

  1. The restore process will use the most recent healthy snapshot prior to the selected date and time.

  2. An administrator can use the Druva Management Console to restore SharePoint Online data to the same or a new site. The following restore options are available.

    1. In-place Restore: Restore data to the same site collection from where the data was backed up.

    2. Restore as New: Restore data to a new site.

  3. The bulk restore operation is currently limited by Microsoft to 25 sites in a single instance.

  4. The newly restored site is appended with 'r0' in the site name and is read-only by default.

  5. When a SharePoint site is restored as new, settings such as Site Content Types, List Content Types, and Site Columns are restored. However, Term Store and Managed Metadata settings are not restored during the process.

  6. During In-place restore, the permissions will revert to the state of the original site at the time of restoration.

Procedure to Restore a SharePoint Site:

  1. Sign in to Druva Management Console and navigate to Microsoft 365 > SharePoint > Configured Sites.

  2. On the Configured Sites page, choose the site whose data you want to restore and click Restore Data.

  3. Select the date and time on the SharePoint Restore window.

  4. Click Restore.

Procedure to Bulk Restore SharePoint Sites:

  1. Sign in to Druva Management Console and navigate to Microsoft 365 > SharePoint > Configured Sites.

  2. On the Configured Sites page, select the sites whose data you want to restore and click Restore Data.

  3. Select the date and time on the SharePoint Restore window.

  4. Click Restore.

View Restore Status

To view the status of your restore, navigate to the jobs dashboard using the left navigation pane. The Jobs dashboard lists all the restore sessions and live activities.
